How to Compare Perfume Box Suppliers: An RFQ Framework and Scorecard
Comparing perfume box suppliers on price alone hides the risks that derail a launch. This guide gives an identical-RFQ framework, a weighted capability checklist, a scoring method, the red flags that justify rejection, and how to lock the standard — not just the price — into the PO.
The RFQ comparison framework
Send an identical RFQ to all
To compare perfume box suppliers fairly, send the same RFQ to each: dieline, board grade (1.5–2.5 mm greyboard), wrap paper gsm, finishing list (foil at 110–140 °C, spot UV, soft-touch), insert type, volume, destination, and target price. Identical inputs turn three quotes into a real comparison instead of three different products. Ask each for FOB and DDP separately so freight is visible.
Capability checklist
What every shortlisted supplier must show
Require a valid FSC Chain-of-Custody certificate (FSC-STD-40-004), ISO 9001, and ideally BSCI or ICTI for social compliance. Ask for the factory's monthly rigid-box capacity, typical lead time (15–30 days), and whether they run in-house foil and magnet routing. A supplier subbing out foil loses control of the ±0.2 mm registration.

Ask for a sample, not just a price
A low price means little until you hold the box. Require a pre-production sample with magnet hold ≥3 N, foil registration ±0.2 mm, and dimensions within ±0.5 mm. Score the sample against your golden-sample criteria before weighting price.
Scoring the quotes
Normalise before choosing
Convert each quote to landed cost (DDP) and divide by the weighted score. A supplier 8% cheaper but missing FSC and subbing foil may score lower once certificates and finishing control are weighted. Document the scoring so the decision survives internal challenge.
Hidden cost: tooling
Cutting-die and magnet-routing tooling run 50–200 USD and are sometimes quoted separately. Confirm whether tooling is amortised into the unit price or billed once; a 'cheap' quote with separate tooling can invert on reorder.
Red flags to reject
Signs of trouble
- No valid FSC/ISO certificate on request — compliance risk for EU/US import.
- Won't provide a physical sample — price-only suppliers hide quality gaps.
- Vague lead time ('about a month') — indicates weak production planning.
- Foil subcontracted with no registration spec — expect ±0.5 mm drift.
- Refuses Incoterms clarity (FOB vs DDP) — landed cost will surprise you.
From the factory floor
Verify certificate numbers on the issuing body's public register, not just a PDF.
Ask for the supplier's AQL plan (ISO 2859-1) before awarding the run.
Negotiating and locking
Lock the standard, not just the price
Once scored, negotiate on volume brackets (e.g. 3000/5000/10000 units), payment terms, and reorder lead time. Lock the golden sample and the AQL 2.5 plan into the PO so production is measured against a sealed standard, not a memory.
FAQ
How many suppliers should I quote?
Three is enough to triangulate price and lead time without diluting your engineering attention across too many RFQs.
What certificate is non-negotiable?
At minimum a valid FSC Chain-of-Custody and ISO 9001; BSCI adds social compliance reassurance for brand audits.
Should foil be done in-house?
Preferably yes — in-house foil control protects the ±0.2 mm registration; subcontracted foil often drifts.
How do I compare landed cost?
Use DDP quotes normalised to the same volume and incoterm; separate FOB quotes hide freight and duty differences.
What lead time is realistic?
15–30 days after golden-sample sign-off is standard for custom rigid perfume boxes at a capable factory.
